This policy describes the personal data Coachmark collects, the purposes for which we process it, and the rights available to you. It applies to your use of coachmark.io and the Coachmark service.

What we collect

We collect and retain the following categories of personal data when you create an account and use Coachmark:

Your email address and a hashed representation of your password. We neither store nor have access to your password in plain text.
The responses you provide during onboarding, including your market, goals, lead sources, and the hours you commit each week.
Your plans and goals, each version of them, and the timestamp at which you approve each one.
Your check-in responses and streak history.
Delivery logs for the coaching messages we send you, retained for the purpose of diagnosing delivery failures.
If you elect to connect a Meta advertising account, advertising performance data as described below.

Keeping your data secure

Your personal data is encrypted in transit and at rest. Access is restricted to those with an operational need for it. Any data you elect to share or connect is optional, is processed solely on your behalf, and may be removed at any time.

How the coaching works with your data

Coachmark is delivered through artificial intelligence, drawing on multiple models to generate your plan, your briefs, and your reviews. Your data is processed for the sole purpose of providing coaching to you. It is not sold, is not disclosed for advertising purposes, and is not used to train models for the benefit of any other party.

If you connect Facebook or Instagram

Connecting a Meta advertising account is optional and is not a condition of using Coachmark.

Scope of access. If you connect an account, we access advertising performance data associated with the ad account you designate: amounts spent, impressions, clicks, reach, and lead volume. We do not access your messages, your contacts, your photographs, your posts, or any other content or personal information associated with your Facebook or Instagram account. Our access is read-only. We cannot create, modify, publish, pause, or delete advertising.

Data retained. We retain the performance figures described above, the name and identifier of the ad account you designate, and an access credential that permits us to refresh those figures on a scheduled basis. The credential is stored in an encrypted vault, segregated from your other data.

Purpose limitation. Advertising performance data is processed for a single purpose: to generate coaching based on your actual results. We do not process it for any other purpose.

Prohibited uses. We do not sell, license, rent, or disclose this data to any third party. We do not use it to serve advertising to you or to any other person. We do not commingle it with the data of other users. We do not use it, and will not permit it to be used, to make, inform, or influence any determination regarding housing, employment, insurance, education, credit, government benefits, or immigration status.

Withdrawal of consent. You may disconnect at any time in your settings. Upon disconnection we cease access immediately, delete the access credential immediately, and delete retained performance data within 30 days. You may also revoke our access directly through your Facebook settings.

Who processes your data

We do not sell your data. Coachmark does not sell, rent, license, or otherwise disclose your personal data to any third party for consideration. We do not treat your data as an asset available for sale, and we will not.

We disclose your data to service providers solely to the extent necessary to deliver the service you have purchased. Those providers fall into four categories: hosting and storage, artificial intelligence model providers, communications delivery by email and text message, and payment processing. Each acts as our processor and not as an independent controller.

Every provider is engaged under a written data protection agreement obligating it to process your data only on our documented instructions, only for the purposes we specify, and never for its own. Each is bound by confidentiality and by security obligations no less protective than those set out in this policy.

We do not serve advertising against your data. We do not disclose your data to advertising networks, data brokers, or analytics resellers. We do not commingle your data with that of other users.

Text messages

Coaching reminders by text message are provided only upon your express opt-in. You must add your mobile number in your account settings and affirmatively check a consent box. We do not send text messages to any person who has not completed both steps.

Your mobile number and your text-message consent are never shared with or sold to third parties for their marketing.
Message frequency varies, typically a few reminders per week.
Message and data rates may apply, charged by your carrier.
Reply STOP to any message to stop all texts, or HELP for help. You can also turn texts off in your settings at any time.

How long we keep it

We retain your data for the duration of your account. Upon deletion of your account, every record associated with you is removed, including your plans, check-ins, streaks, delivery logs, uploaded files, and any connected data sources. We retain only a record confirming the deletion, for the purpose of evidencing our compliance.

Your rights

You may, at any time:

Request a copy of the personal data we hold about you.
Correct your profile and coaching settings within the application.
Delete your account and all associated data. See our data deletion instructions.
Suspend coaching emails without deleting your account.
